Change of first name and gender at the LUH

How can I have my first name and gender entry changed at LUH under the Self-Determination Act (SBGG)?
Please send confirmation of your change of first name and change of gender entry (official proof) by post or e-mail to your personal administrator in Department 2.
Data protection notice: Please always send your e-mails encrypted using a user certificate in order to protect sensitive data.

Can I have my first name and gender entry (including e-mail address) changed without official documents?
- The first name can be changed in many places in the LUH systems using the “Rufname” option. However, the passport name remains the same and is sometimes publicly visible.
- You can apply for a new e-mail address at support@luis.uni-hannover.de. However, this usually only contains your surname. Your old e-mail address will remain as an alias, so you will continue to receive e-mails sent to your old address.

How do I change my data in the EPV – Organisations and Persons?
- The personal master data is changed via your personal administrator in Department 2. After a few days, the name will automatically change in the EPV. Please note: The gender entry is not saved in the EPV.
- Students who are also employed at LUH must also have their data changed via the Enrolment Office. This also applies to doctoral candidates.

How can I change my e-mail adress?
- If you use an e-mail address with a first name, you can request a new e-mail address from LUIS IT Support: support@luis.uni-hannover.de
- Your old e-mail address will be renamed and the existing e-mails and folders will be retained. The old e-mail address will remain as an alias in the background. Depending on the mail system, a period of a few hours will be agreed for the renaming, during which you will not be able to access the mail address.
- You can customize your display name yourself with Sogo-Webmail.

Will my birth name and the gender I registered until the change still be visible in LUH systems after the change?
- Yes, previous correspondence under your birth name and documents submitted or created under your birth name (e.g. school or work references) will remain in your file. Only your clerk from the Examination and Enrolment Office will have access to them. This serves to trace the identity of persons and is lawful within the framework of the SBGG.
- However, after the change, the birth name and the gender registered until the change may not be disclosed or researched without consent. See §13, SBGG.

Can I have my documents and certificates issued in the new name after the change?
Yes, you can request that your documents, certificates and certificates of achievement be reissued if they contain your gender or first name. See §10, SBGG. On request, for example, the employment certificate can be issued with reference to the birth name, i.e. Kim (born Christian) Hofmann. The documents to be amended must be presented in the original when they are reissued and will be confiscated or declared invalid by Leibniz Universität. If the document to be amended cannot be presented, the person must declare on oath that they are neither in possession of the document nor aware of its whereabouts. Your personal administrator is also responsible for this.

How do I use the Seafile Cloud and project files after my email address has been changed?
- The data and access to the Seafile cloud remain unchanged, as access is via WebSSO.
- As you log in to the project file using your e-mail address, the new address must be transferred to the project file if you change it. This is done in three steps:
- You are also entered with your new e-mail address in all projects in which you are entered with the old e-mail address.
- You test access to all projects with the new e-mail address. Once access has been successfully tested:
- Your old e-mail address will be removed from all projects.

Note: You do not need to delete your account with the old e-mail address yourself. If an e-mail address is no longer used in a project, the associated account is automatically deleted the next night.
